We are looking for an Executive Personal Assistant to support a US-based senior stakeholder in a fast-paced, global environment. This is a trusted and highly impactful role where you will act as an extension of the stakeholder, helping structure, prioritize, and execute a wide range of administrative and coordination tasks.
This role plays a key part in ensuring smooth daily operations. You will handle everything from calendars and travel to expenses, systems, and internal coordination.
The role offers the opportunity to grow over time, gradually taking on more responsibility and acting increasingly on behalf of the stakeholder.

You are a structured and proactive professional who enjoys taking ownership and making things run smoothly. You are comfortable navigating processes, systems, and workflows.

Administrative and coordination skills, with experience in similar support roles
Comfortable working with established processes, systems, and tools
Able to handle stressful situations calmly and professionally
Strong multitasking skills and flexibility in managing time-sensitive tasks
Good balance between cost awareness and practical execution
Fluent in English, both spoken and written
Comfortable with basic client communication when needed
Motivated, engaged, and eager to learn and grow in the role
This is your role
As a Senior Executive Assistant, you will:
Manage day-to-day administration, including calendars, travel arrangements, and additional expenses
Own and manage the stakeholders’ inbox, handling and resolving most incoming administrative matters independently
Turn requests into action (e.g., scheduling or declining meetings, redirecting topics to the right stakeholders, following up on tasks)
Manage and follow up on expense reports, working closely with back-office and finance teams
Support administrative workflows through systems such as Jira
Fill in forms and handle operational admin tasks on behalf of the stakeholder
Coordinate activities and support event management when needed
Act as a central point of support, ensuring administrative processes are handled efficiently and accurately
Closely support urgent and ongoing needs, continuously learning to take on more responsibility and act increasingly on behalf of the stakeholders
The role requires availability aligned with Eastern Time (ET), as you will be supporting a US-based stakeholder.
